Sending a sample request for multiple products

How to raise one sample request covering articles from several products at once, started from the top-level Samples module: pick the supplier, then select articles across products, then send.

When a supplier is making several of your products, you can send one sample request that covers articles from all of them — instead of raising a separate round on each product. It's just as useful for pulling together a whole season, your photo samples, your sales samples, or any other grouping in the collection that needs to come home at the same time. One request always goes to a single supplier, so everything in it must be made by the same supplier. This request starts from the top-level Samples module rather than from a single product's Sampling tab.

To request samples of a single product, use the Sampling tab on that product instead — see Sending a sample request from a product.

Start the request

In the Samples module, click New request. The request opens as a small popper rather than a single form, because the articles can come from more than one product.

Type, date, and supplier

Set the round type and the date you want the samples by, then pick the supplier and check the e-mail address. As with a single-product request, the supplier's e-mail pre-fills from their contact details and can be edited, and you can CC teammates. Click Next.

Select articles across products

The article picker lists every product the supplier makes, each as a group you can expand. Tick the articles you want sampled and the count at the top tracks your selection. Use the search box to find an article, Only selected to review what you've picked, and Expand all / Collapse all to move through long lists. Click Select articles to continue.

Sizes, message, and send

The last step works like a single-product request: set the sizes and quantities, write the message the supplier will read, attach any files, then Send to e-mail the request — or Save as draft to save it without e-mailing and send it later. Comments and files can be added to the whole sample round — and also per article, for information that only concerns a single article. Use the per-article option when one article needs its own note or attachment that doesn't apply to the rest of the request. The request goes to the supplier as one round covering all the chosen articles.

💡 Once it's sent, the round behaves like any other — follow it from the Samples module or the Sampling tab of any product it covers. For how the thread, shipments, and measurement reports work, see Sending a sample request from a product.
